CLEANING BY ASHLEY LLCBUSINESS POLICIES
- Cleaning by Ashley LLC agrees to provide services in a professional and workmanlike manner as outlined in this agreement. Client acknowledges that services are performed in residential environments that may vary in condition and agrees that Cleaning by Ashley LLC is not liable for pre-existing conditions or damages not caused by gross negligence.
- Cleaning by Ashley LLC prefers that alarms are kept off for the cleaning day. If it must be on and the alarm is triggered, Cleaning by Ashley LLC is not responsible for any fees associated with the alarm.
- Cleaning by Ashley LLC agrees to keep client information secure and confidential.
- Cleaning by Ashley LLC does not use a ladder or move items weighing more than 35 pounds to protect ourselves from injury. If you would like cleaning behind heavy objects, please move them before cleaning day.
- Cleaning by Ashley LLC reserves the right to deny service or terminate service because of safety concerns, financial concerns, or inappropriate or uncomfortable situations.
- Cleaning by Ashley LLC will not remain on-site for longer than 4 hours per job.
- If the completion of the job requires additional time exceeding 1 hour, a separate appointment will need to be scheduled. Any additional appointments are billed separately and are not included under the original visit.
- Cleaning by Ashley LLC has a closed door policy. Any room with the door shut will not be entered or cleaned.
- Rooms with limited access that the client wishes to have cleaned will provide a key or access code to such a room for cleaning purposes only.
- Cleaning by Ashley LLC will respond to calls, texts, and messages Monday through Friday, 9-5. Any messages before, after, or on weekends will be answered on the next business day.
CONDITIONS FOR SERVICE PROVISION
Cleaning by Ashley LLC reserves the right to deny or terminate services if the conditions at the location are deemed unlivable or unsafe. Unlivable conditions include, but are not limited to:
- Structural damage that poses a safety risk
- Lack of essential utilities (e.g., running water, electricity, heating)
- Presence of hazardous materials (e.g., asbestos, lead paint, radon, high carbon monoxide levels)
- Pest infestations that pose health risks.
- Faulty electrical systems that are a fire hazard.
- Deficient security measures (e.g., broken windows, lack of deadbolt locks).
- Biological hazards such as human or animal waste, bodily fluids, or other unsanitary materials.
Cleaning by Ashley LLC reserves the right to assess the condition of the property prior to or during service and may, at its discretion, deny, suspend, or terminate services if the location is deemed unsafe, unlivable, or unsuitable for cleaning.
If hazardous or biohazard conditions are discovered during service that were not disclosed prior to the appointment, Cleaning by Ashley LLC reserves the right to immediately stop work and either reschedule, adjust pricing, or terminate the service.
Any time spent on-site up to the point of termination will be billable.
CLUTTER POLICYTo ensure we can provide the highest quality cleaning service, we require that surfaces and floors be reasonably clear of excessive clutter prior to your scheduled cleaning.
DEFINITION OF CLUTTER:
Clutter includes, but is not limited to, excessive personal items, clothing, toys, paperwork, dishes, or miscellaneous belongings that prevent access to surfaces, floors, or key cleaning areas.
CLIENT RESPONSIBILITIES:
- Pick up and organize personal items before your scheduled service.
- Clear countertops, floors, and accessible surfaces as much as possible.
- Secure or remove fragile, valuable, or important items.
SERVICE LIMITATIONS:
- Our team does not provide organizing services unless previously agreed upon.
- Areas with excessive clutter may be:
- Skipped during cleaning, or
- Lightly cleaned around items rather than thoroughly cleaned
If excessive clutter prevents efficient cleaning or significantly increases service time, Cleaning by Ashley LLC reserves the right to:
- Apply an additional service fee (typically 20–30%), or
- Reschedule the appointment if proper cleaning cannot be completed safely or effectively
- Final determination is based on on-site assessment.
OPTIONAL ADD-ON:
Light organizing or clutter reduction can be added to your service at an additional hourly rate if requested in advance.
JOB DESCRIPTION
Cleaning By Ashley LLC will provide the following housekeeping services, known going forward as the services:
- $0.10 per sqft for light cleaning.
- $0.15 per sqft for medium cleaning.
- Deep cleans, move-in/move-out cleans, and one-time services are priced based on the size, condition, and level of detail required, as well as the number of team members needed to complete the job.
In addition to the services described above, Cleaning By Ashley LLC shall not provide any additional housekeeping services unless agreed upon before the visit.
- All housekeeping duties shall be performed without disturbing or unduly inconveniencing Cleaning By Ashley LLC by any guest, animal, or other individuals occupying the premises.
- Cleaning By Ashley LLC does not clean animal cages or litter boxes, animal droppings, human feces, urine, vomit, soiled clothing, or other similar biohazards.
- Any irreplaceable, collectible, or expensive objects must be secured or put away to avoid accidents.
ESTIMATES & WALKTHROUGH BASED PRICING
- All pricing is based on an in-person walkthrough and the condition of the home at the time of assessment. Estimates are provided in good faith based on visible conditions and information available during the walkthrough.
- If the condition of the home is significantly different at the time of service, or if additional areas or services are requested beyond the original agreement, adjustments to pricing may be made accordingly.
- Approval of pricing at booking confirms acceptance of these terms.
PRICING
- Square-footage pricing is based on the total size of the home, not individual areas cleaned.
- Deep cleans, move-in/move-out cleans, and one-time services are priced based on the size, condition, and level of detail required, as well as the number of team members needed to complete the job.
- Requests for cleaning individual rooms or partial areas will be subject to a minimum service charge and may be priced at up to a 50% higher rate than standard pricing.
- All pricing is based on the initial assessment of the home’s condition. If the condition differs significantly at the time of service (including excessive buildup, neglect, or additional areas requested), Cleaning by Ashley LLC reserves the right to adjust pricing accordingly.
- Any additional services must be requested in advance to allow proper scheduling, staffing, and supply preparation. Services requested at the time of cleaning may not be accommodated or may result in additional charges.
- All pricing is subject to final confirmation based on actual on-site conditions at the time of service.
HOME CONDITION & ADJUSTMENTS
All estimates and pricing are based on a standard level of household condition. This includes normal wear and routine cleaning needs.
If the home is found to be in heavily soiled condition, including but not limited to:
- excessive grease buildup
- heavy dust accumulation
- pet hair or pet waste impact
- mold, mildew, or strong odors
- hoarding conditions or excessive clutter
- long-term neglect or post-eviction conditions
- Additional time, staffing, and supplies will be required.
In these cases, Cleaning by Ashley LLC reserves the right to adjust pricing before or during service to reflect the actual condition of the home. The client will be notified of any changes as soon as they are identified.
If the revised pricing is not accepted, services may be limited or discontinued, and a partial charge may still apply for time and travel.
PAYMENT POLICY
- Payment is due before or at the time of service, unless prior arrangements have been made in writing.
- Accepted forms of payment include cash, money order, and electronic payment such as Venmo. Checks are accepted for established clients only at the discretion of Cleaning by Ashley LLC.
- A $20 nonpayment fee will be applied if payment is not received on the scheduled service date. Any balance not paid within 15 days will incur a 10% finance charge, which will continue to accrue monthly until paid in full.
- For larger jobs or one-time services, a non-refundable deposit may be required to secure your appointment.
- Cleaning by Ashley LLC reserves the right to refuse or discontinue services until all outstanding balances are paid in full.
- The client agrees to be responsible for any costs incurred in the collection of unpaid balances, including but not limited to fees, administrative costs, or legal expenses.
- All sales are final. No refunds will be issued after services have been completed.
RETURNED CHECK POLICY
- A $30 fee will be charged for all returned checks.
- If a check is returned for any reason, the full balance plus all applicable fees is due immediately and must be paid via cash, money order, or electronic payment only.
- Cleaning by Ashley LLC reserves the right to no longer accept checks from any client whose payment has been returned.
DEPOSITS & CANCELLATION POLICY
- A non-refundable deposit of $100 or 30–40% of the total service cost (whichever is greater) is required to secure all one-time, deep cleaning, or move-out appointments.
- Appointments are not considered confirmed until the deposit has been received.
- Clients must provide at least 24 hours’ notice to reschedule an appointment. One reschedule may be allowed and the deposit will be applied to the new appointment date.
- Cancellations made with less than 24 hours’ notice will result in the forfeiture of the deposit.
- Same-day cancellations or failure to provide access to the property at the time of service (“no-show”) will result in the full loss of the deposit, and additional fees may apply.
- Cleaning by Ashley LLC reserves the right to decline future services for repeated cancellations or no-shows.
FURNISHING EQUIPMENT.
- Cleaning By Ashley LLC will provide the equipment and materials necessary for the performance of this agreement. Unless otherwise authorized by the client.
- Cleaning by Ashley LLC does not use bleach. If the client requests the use of bleach, Cleaning by Ashley LLC is not responsible for any damages it may cause.
GLASS DOOR/SHELF WAIVER
Spontaneous glass breakage of toughened/tempered glass doors or furniture can be caused due to an internal defect (nickel sulfide inclusions), an error during installation or quick changes in temperature (such as taking glass shelving out of a refrigerator). When this happens the glass breaks or explodes without any outside force. If this happens, you agree that Cleaning by Ashley LLC shall not be held liable.
MEDIA RELEASE & CONTENT CREATION
- Client acknowledges and agrees that Cleaning by Ashley LLC, its employees, agents, or representatives may capture photographic, video, and/or audio recordings (“Content”) of the cleaning services performed on the premises for the purposes of marketing, promotion, advertising, training, or other business-related use, including but not limited to social media platforms, websites, and digital/print publications.
- Cleaning by Ashley LLC will make reasonable efforts to exclude personal identifiers, confidential materials, or private information from any such Content. By accepting services, Client grants Cleaning by Ashley LLC a perpetual, irrevocable, royalty-free, and worldwide license to use, reproduce, publish, and distribute such Content without further consent or compensation.
- If Client does not consent to the creation or use of such Content, a written notice must be provided before the commencement of services. Failure to provide such notice shall be deemed as full consent and release.
WORK INSPECTION
- Client retains a general right to inspect the results of the services during the time the housekeeper is in the home to determine whether the contracted work has been completed sufficiently according to the terms and conditions agreed upon between the parties. This includes the rights to inspect, stop the work, make recommendations as to the details of the work, and prescribe alterations or deviations in the work. This in no way alleviates the client from payment for services rendered.
- Upon the departure of Cleaning by Ashley LLC from the premises, all completed work shall be deemed accepted by the client.
INDEMNIFICATION.
- The client agrees to indemnify and hold Cleaning By Ashley LLC harmless from all claims, losses, expenses, and fees, including attorney fees, costs, and judgments that may be asserted against the client that result from the acts or omissions of the housekeeper.
- Client agrees to not hold Cleaning By Ashley LLC responsible for any accidents or damages that may occur.
- Cleaning by Ashley LLC is not responsible for damage incurred by the improper installation of any object. All surfaces are assumed sealed. If you know of any surface that is not sealed, you must notify us so that we may clean the item properly.
WARRANTY.
Cleaning By Ashley LLC shall provide its services and meet its obligations under this agreement in a timely and work-like manner, using knowledge and recommendations for performing the services that meet generally acceptable standards in the client's community and region.
HOLIDAYS AND WEATHER
- Cleaning by Ashley LLC does not accept time-specific calls, as we cannot guarantee specific times accurately.
- Cleaning by Ashley LLC reserves the right to cancel a scheduled cleaning due to inclement weather.
- Cleaning by Ashley LLC does not do holiday visits. If your scheduled day falls on a holiday, Cleaning by Ashley LLC will call to reschedule.
AMENDMENTS.
Cleaning By Ashley LLC holds the right to make or change amendments to this contract at any time.
- Cleaning by Ashley LLC does not operate on strict hourly limits; however, services are scheduled based on estimated time, team size, and scope of work.
- If additional time is required beyond the scheduled appointment window, the remaining work will be completed at a later date and billed separately unless otherwise agreed in writing
